GUIDELINES FOR ORDERING SEED*A. Determine your seed requirement. 1. Identify the species, variety or provenance appropriate for your needs. (This directory identifies sources of seed by species only. For information regarding the varieties or provenances available contact seed suppliers). 2. Seed requirements depend on planting design and desired spacing. Appendix 2 provides guidelines for determining specific seed requirements. 2. Review available information. 1. Consult available resources such as this directory, ICRAF's International Tree Seed Suppliers Directory**, databases or informal lists. 2. Contact those suppliers who are near your location, have a good reputation, and can provide the seed you require. 3. Order the seed well ahead of the time it is needed. 1.Supplier may not have stocks of the seed you need. Knowing the quantity of seed orders in advance, allows suppliers to collect and ship seed in time to meet your needs. This is very important particularly for recalcitrant seed (recalcitrant seed can be stored only for a short period after collection) and for species that flower and produce seeds at irregular interval (not every year). 2. Consider the time required to raise health seedlings for field planting. For most species the nursery period is 2 to 12 months. Information concerning seedling production periods for specific species is available in nursery manuals and tree species reference books. 4. Provide the suppliers the following information. 1. Your detailed address (street and number, city, district, province, country, postal code, telephone and facsimile number, email, and name of contact person). 2.The most reliable form of shipping (surface mail, airmail, courier) to your location. 3.The quantity of seed required. 4.The date you desire to receive the seed and the intended sowing date. 5. Specify the type of seed storage facility available to you. 5. Ask the supplier to provide you the following information. 1. Confirmation that the seed (species) required is available. 2. Confirmation that the quantity of seed required is available. 3. The date when the seed can be dispatched to your location. 4. Options for shipping the seed (surface mail, air mail, courier) and respective shipping time and costs for each option. 5. Price of seed,, mode of payment and any advance payment required. 6. Documentation regarding the description of seed source (see appendix 5), collection method (including number of trees from which seeds were collected), and date of seed collection. 7. Documentation of seed quality : purity, seed per kilogram, and percentage of germination (see appendix 4). 8.Information about seed storage requirements and apprpriate pre-sowing treatments (see appendix 3). 6. Confirm your seed order as soon as possible. 1. After receiving confirmation from the seed supplier, confirm your seed order (species and quantities of seed) as soon as possible. Complete and return any seed order form that is required. 2. Provide all the details listed in number 4 above again, so the information is easily accessible to the supplier. 3.Make an advance payment if required and specify the mode of shipping you prefer. 7. After receiving seed. 1. Acknowledge that you received the seed. 2. Make any remaining payment as agreed. 3. Follow the instruction on seed storage and pre-sowing treatment when applicable. 4. File and safeguard the documentation provided with the seed. This information is important as a reference and for ordering additional seed. 5. If you redistribute this seed, do not forget to provide copies of the documentation with the seed. 6. Keep the supplier informed on performance of the seed and any problem encountered with seed germination, seedlings establishment, pest and diseases. 8. Importing and exporting seed to or from Indonesia (according to Minister of Forestry regulations). 1. Seed may be imported or exported for the purpose of forest plantation establishment or research by authorized suppliers after obtaining an import/export permit from the Director General of Land Rehabilitation and Social Forestry or the head of a research and development center. Applications for the import/export permits should include the following information : purpose, species, quantity, source of seed, and country of origin/destination. 2.Imported seed should be accompanied by a certificate of origin, certification of quality, and phytosanitory certificate. 3. Exportable seed are quality seed produced in planted forests and not included on lists of rare or endangered species protected by law. All seed exports must be accompanied by a phytosanitary certification issued by the Pusat Karantina Tumbuh-tumbuhan Hutan (Centre for Quartine of Forest Species), a Balai Perbenihan Tanaman Hutan (Forest Tree Seed Centre) or other authorized institution. * These guidelines for ordering seed are adapted from those published in Kindt et al. 2002. **Kindt R with A Mutua, S Muasya and J Kimotho. 2002.
